Project Administrator

Job Overview:

We are seeking a detail-oriented and organized Project Administrator to support our project management team in coordinating and facilitating the successful execution of projects. The ideal candidate will be a proactive and resourceful individual who can manage administrative tasks, maintain project documentation, and contribute to the overall efficiency of project workflows.

Key Responsibilities:

  1. Documentation Management: Create, organize, and maintain project documentation, including project plans, status reports, meeting minutes, and other project-related materials.
  2. Communication: Facilitate communication among project team members, stakeholders, and external partners. Distribute relevant information and updates in a timely manner.
  3. Scheduling: Assist in scheduling and coordinating meetings, workshops, and other project-related events. Ensure participants are well-informed and prepared for scheduled activities.
  4. Task Tracking: Monitor and track project tasks and milestones. Assist in maintaining project timelines and deliverable schedules.
  5. Resource Coordination: Collaborate with resource managers to ensure team members have the necessary tools, equipment, and information required for project tasks.
  6. Issue Tracking: Help identify and document project issues or roadblocks. Work with the project management team to find solutions and ensure the project stays on course.
  7. Administrative Support: Provide general administrative support to the project management team, including organizing files, managing calendars, and handling correspondence.
  8. Quality Assurance: Assist in ensuring that project deliverables meet established standards and quality expectations.
  9. Team Collaboration: Foster a positive and collaborative team culture by promoting effective communication and coordination among team members.
  10. Process Improvement: Identify opportunities for process improvement and contribute ideas to enhance project management workflows.

Qualifications:

  1. Bachelor’s degree in Business Administration, Project Management, or a related field is preferred.
  2. Proven experience in an administrative or project support role.
  3. Strong organizational and multitasking skills with keen attention to detail.
  4. Excellent communication and interpersonal skills.
  5. Proficiency in Microsoft Office or other project management tools.
  6. Ability to work collaboratively in a fast-paced environment.
  7. Eagerness to learn and adapt to changing project requirements.
  8. Basic understanding of project management principles is a plus.
